South Morang Preschool Association is the managing body of 4 sessional kindergarten sites.

In your child’s kinder year, we ask our families to volunteer on the committee of management in either one of the designated roles listed below or as a general member. 

Joining the Committee of Management is a great way to get involved in your child’s kindergarten experience. Most volunteer positions require a small portion of your time but give the kinder a great service. As South Morang Preschool is a committee managed centre all volunteer positions must be filled before we can operate each year. The committee meet 5 times a year to vote on agenda items such as spending, operational requirements, staffing and programming. 

Committee meetings are held in February, April, June, August, and October at Mill Park Lakes Preschool on a Monday nights at 7.30pm. 

We encourage parents to attend the meetings, as it would be of great benefit for you to understand what is involved in running the kindergarten.

Please note that as a committee member you will be required to sign a confidentiality form and some members will require a “Working with Children” volunteer card and or a police check.  Any positions that handle cash or are signatories of the bank accounts will also require a Police Check to be done.

President

  • Chair meetings.
  • Set up complaints sub-committee and other sub-committees as required.
  • Be the spokesperson for committee when needing to address or thank individuals or groups.
  • Write reference or draft letters when required.
  • Work with manager and participate in writing president/management report for each meeting.
  • Hold a set of keys to each building.
  • Countersign on banking for Administration Manager when required.
  • Liaise with staff and committee members about decision making as required.
  • Liaise with staff, committee and parents regarding financial payment difficulties.
  • Ensure all committee members are aware of their role requirements and have received a correct handover from previous member.

As the President you will work closely with the operations manager and be aware of most of the activities in and around the kindergartens. The person volunteering as the President must be prepared to support the service and take the time required to resolving issues, managing staff and committee members, liaising with government departments, researching, or writing letters on behalf of the kinder and updating employee contracts when required.

Vice President

  • Stand in for President when required including attending any relevant meetings.
  • Perform specific duties as requested by President.
  • Attend and participate in all committee meetings and share responsibility for all committee decisions.

Secretary

  • Keep and distribute a current list of all committee members including all their contact details.
  • Organise the agenda for monthly committee members and distribute 1 week prior to meeting.
  • Set meeting dates and distribute reminders at least one week prior to meeting.
  • Take minutes at meetings and distribute to all members within 10 days of the meeting.
  • Follow through on any recommendations/motions made at the meeting.
  • Document all correspondence received by secretary and file accordingly and action if necessary.
  • Attend and participate in all committee meetings and share responsibility for all committee decisions.

Treasurer

  • Oversee the banking and accounts with the Operations Manager by signing off on transactions weekly.
  • Be aware of fee policy and take action prescribed in case of late payment of fees.
  • Liaise with President when a financial plan is required to aid in the payment of fees.
  • Manage Term Deposits and transfer any excess money into interest bearing accounts to ensure the best financial future for the kindergarten.
  • Liaise with the Operations Manager to provide a monthly financial report at the committee meeting.
  • Liaise with the Operations Manager to provide a yearly financial budget to be presented to committee.
  • Be aware the kinder stands within the budget each month.
  • Prepare and present a financial report for the AGM.
  • Attend and participate in all committee meetings and share responsibility for all committee decisions.

Activities Co-ordinator

  • Organise memento activities as required throughout the year.
  • Research fundraising activities and oversee the management of the chosen event.
  • Work with the staff and other Activities Co-ordinators to raise funds to support South Morang Preschool Association.
  • Attend and participate in all committee meetings and share responsibility for all committee decisions.

General Member – Committee Support

  • Attend meetings and follow up on all requests for support throughout the year.
  • Attend and participate in all committee meetings and share responsibility for all committee decisions.
  • Form part of any Sub-Committee established throughout the year.
